Task 7.1: Project coordination & monitoring

The task deals with general project coordination, communication with ARIS, and progress monitoring. It will organize a kick-off meeting and the monthly Project Managing Board (PMB) meetings of 7 principal investigators (WP leaders). The project leader and his support team will ensure that all deliverables will be checked and submitted on time. The task will manage finances and the reimbursement of costs according to the budget in a timely manner and maintain the necessary records.

The project will uphold a code of research ethics as encapsulated in the European Code of Conduct for Research Integrity, the national-level Code of Conduct for Research Integrity, and the Code of Conduct of the UL. The task will oversee and approve the ethics of the LLM-related research and applications. This will also increase awareness of ethics issues within the consortium. A proactive approach will be taken to monitor progress. Every output will be checked by people not directly involved in its creation. The risk management activity will oversee the defined critical risks for each WP and the corrective actions to be taken. The Data Management Plan will detail the many aspects of data management, metadata generation, and data preservation. It will encourage the use of open-source licenses but will ensure careful management of proprietary and personal data. It will also make sure that data are well-managed and prepared for long-term preservation. The plan will be updated periodically, as necessary.

The target groups for project dissemination and communication include the research community, students and educators, policymakers, industry stakeholders, and the general public.

Academic dissemination will involve publishing findings in high- impact peer-reviewed journals and presenting them at international conferences, workshops, and shared tasks. For each of the research tasks, we expect approximately one submitted journal and one conference publication, which is about 40 publications altogether.

We will pursue knowledge exchange opportunities through related COST actions, Eutopia initiatives, and research infrastructures such as CLARIN and Dariah. To reach students and educators, we will organize webinars and visiting lectures, including lectures in existing summer/autumn schools (such as ESSLLI, ESSAI, ACAI, and law & technology). All educational materials will be available online, and the lectures will be recorded and disseminated through the Videolectures portal. We will prepare policy briefs and organize a roundtable discussion to inform policymakers and industry stakeholders about the impactand implications of our research. To communicate with the general public, we will utilize various media channels to make our research accessible and engaging. This will include creating informative and visually appealing content for social media, maintaining an up-to-date project website, and participating in public science events to demonstrate our project’s societal relevance and benefits.

We will prepare a media kit and seek opportunities for media visibility. For dissemination and communication, we will leverage the participating partners’ existing infrastructure and PR departments.
